Over the past few months, I've used a simple system that I thought I'd pass along.
Take a 3 by 5 card, write a person's name in red ink at the top, then in black or blue ink jot down project tasks related to that person. For example, one person's card may have:
Send info on City contacts.
Give feedback on ethics disk.
Coffee mtg re community programs and staff issues.
You can glean items from these cards and put them into your daily action plan or, and this is where the cards really help, when talking with the person you can review the card for reminders of key points.
[I got a Levenger notebook that is designed to hold an assortment of 3 by 5 cards. It provides more than enough space.]
The reasoning behind the card system is we get things done via people. We also blunder by forgetting or botching commitments to people.
I don't know if it will work for you, but it has certainly helped me.
